  • Authenticated dealership users: salespeople, managers, BDC staff, and owners who log in to the Agent Dynamics platform; and
  • Unauthenticated visitors: anyone who browses our site or interacts with our voice/chat demos without creating an account.

By accessing the platform or our demos, you acknowledge this Policy.

1. Information We Collect

We collect information about you when you use our services. This includes:

Account Identifiers:

name, business email, phone number, profile picture, username & hashed password, authentication tokens (if used)

Business Details:

dealership name, address, hours, and CRM/DMS configuration data

Usage & Interaction Data:

call audio, call transcripts, in-app activity logs, support requests, and session data

Demo Inputs:

name, email (if entered), voice recording, text you type or speak during demos

Device / Technical Data:

IP address, browser type, pages visited, cookies, analytics IDs

2. How We Use Information

We use the information above to:

  • Provide & Improve Services: authenticate users, route calls, generate transcripts, schedule appointments, and refine product features (we do not train public AI models on dealership data without explicit written consent)
  • Analytics: track feature usage, troubleshoot issues, and improve experience using tools like Google Analytics and Mixpanel
  • Security: detect fraud, secure accounts, and prevent abuse
  • Marketing: send product updates or promotions (unsubscribe anytime)
  • Legal Compliance: fulfill legal obligations and enforce our Terms

  • Call Audio & Transcripts: stored until deletion is requested, or as required by law
  • Logs & Analytics: retained up to 3 months, then anonymized or deleted

  • Opt-out of marketing: click "unsubscribe" in any marketing email
  • Request deletion of call recordings or demo data: email support@agentdynamics.ai with identifying details
  • California residents: you may have additional rights under CCPA; email us for details

7. Security

We implement industry-standard security measures (encryption, least-privilege access, monitoring). No system is 100% secure, but we work to protect your data from unauthorized access.

8. International Users

Our systems are located in the United States and intended for U.S.-based dealerships.

9. Children

Agent Dynamics is not intended for individuals under 13. We do not knowingly collect personal data from children.

We may update this policy and will post changes with a revised "Last updated" date.
